About the Open Medical Institute:

About the Position:
We are looking for a highly organized quick learner with an international outlook to join our team as a program coordinator. Reporting to the OMI CEO and OMI managing director, you will be a key player in ensuring seamless program operations.
You are the ideal candidate for this job if you have experience in program or project management, strong administrative and organizational skills, are adept at intercultural communication, and enthusiastic about making a difference in this world.
The position is full-time (40 hours per week) and based at Schloss Arenberg, home of the Open Medical Institute, in Salzburg, Austria.
Responsibilities Include:
- Work closely with the academic office team on the planning and execution of a robust portfolio of medical seminars.
- Oversee application, selection, and invitation processes of international fellows.
- Manage program timelines, ensuring deadlines are met and materials are prepared for participants in line with institutional guidelines.
- Coordinate logistics including travel arrangements for international faculty and fellows.
- Maintain accurate database records with faculty and fellow information.
- Assist with scientific program evaluations and publications.
- Contribute to the creation and dissemination of promotional and impact focused materials, including brochures, program reports, blog posts, newsletters, social media content, and e-learning.
- Curate and update our website with relevant information, links, and resources.
- Coordinate with internal OMI departments (e.g. hospitality, operations, media lab, local coordinators) to ensure a smooth execution of programs.
- Provide general administrative and operational support.
Qualifications:
- A bachelor's or master's degree or an equivalent combination of education and experience.
- Ideally one to three years of professional experience in program management or operations in a nonprofit setting.
- Strong administrative and organizational skills with a high level of attention to detail.
- Ability to work both independently and collaboratively as part of an international team.
- Excellent interpersonal and communication skills.
- Fluency in both spoken and written German and English.
- High level of proficiency with MS Office (Excel, Word, PowerPoint) and experience with database management and content management platforms.
- Flexibility, adaptability, and a proactive approach to operational challenges.
