Executive Assistant / Allrounder (English & German required) (Part-Time, 25h/week)
Remote (Austria) Close Proximity to Vienna Required
The Role
We are looking for a highly organized Executive Assistant who is excited to work closely with the Founders and support the day-to-day operations of a growing company.
In this role, you will help keep things running smoothly behind the scenes -- coordinating schedules, organizing information, and supporting communication and execution across the team.
This is a 25-hour per week position, primarily remote, with flexible scheduling. Occasional in-person meetings in Vienna are required.
We're looking for someone who takes ownership of their tasks, communicates proactively, and feels comfortable in a dynamic environment where priorities may shift from time to time. You should be eager to learn, grow, and gradually take on more responsibility.
Responsibilities- You will work closely with the CEOs:
- Managing and organizing the CEO's calendar and priorities
- Coordinating meetings, travel, and external appointments
- Acting as a point of contact between leadership, partners, and team members
- Supporting speaking engagements, interviews, and public appearances
- Helping document and improve internal workflows
- Communicating with international partners, freelancers, and advisors
- Handling various administrative and operational tasks as they arise
- Over time, you'll also be encouraged to identify small inefficiencies and suggest improvements.

You have around 1-3 years of professional experience (assistant, coordination, operations, hospitality, or similar). The exact title matters less than your mindset and reliability.
You:
- Are naturally organized and detail-oriented
- Learn new tools and processes quickly
- Enjoy bringing structure to fast-moving environments
- Take ownership of your work and follow through
- Communicate clearly and professionally (English & German required)
- Are comfortable using digital tools (Google Workspace, Asana, Notion, etc.)
- Appreciate flexibility but understand the importance of reliability
- Feel comfortable communicating in both English and German. Your German does not need to be perfect, but you should be able to handle professional communication independently.
This role is ideal for someone who enjoys being the organizational backbone of a company and prefers meaningful responsibility over rigid corporate structures.

Salary
The actual minimum salary is 27,900 EUR gross per year (on a 38.5-hour basis), the actual salary depends on your qualifications and experience. The salary is paid 14 times per year.
Overtime
Any accrued overtime is compensated in the form of time off.
