Our client is a highly respected global asset-management firm - associated with a reputable family office which includes holding functionalities for various assets.
Part of an international set-up - the Vienna office of our client currently comprises around 10-15 team-members - very much performance driven, entrepreneurially minded, top-quality oriented, and low hierarchy, with a working culture of "flexibility, can-do-attitude, straightness and clarity, speed, and a great team spirit!".
In order to foster this team and contribute to its further professional and team-related development - we are searching for a
(Senior) Team Assistant (m/f/d)
full-time OR part-time permanent employment
Your Core Tasks:
• Corporate Finance Assistance including invoicing, coordination with service provider, assistance with audit of financial statements
• Compliance Assistance - including KYC, money laundering prevention, annual and ongoing internal audit
• Fund related Assistance - including Fund Invoice Payment & Transfer Instructions, Annual Fund Audit Assistance (Sep - Mar), review of marketing documents / presentation (English + German)
• Administration of the Austrian business entities (German language skills required)
• Convenience Translations
• Project work
Additional / Optional Tasks:
• IT Coordination
• with helpdesk
• with local telephone company
• equipment procurement and installation together with group helpdesk
• Facility Management
• coordinate service personnel (cleaning, handyman, etc.)
• order stationary and other goods
• liaise with landlord
• Travel arrangements
Further Option Job-Enrichment - e.g. (short- or long-term):
Depending on your development path (AND/OR your given seniority, skill-set, and previous functional expertise) - the following tasks could be considered a true job-enrichment towards a more 'financial expert' oriented role. Needless to say - previous job experience, openness and affinity to these tasks are NOT a must-have but an ideal supplement and further refinement of your functional profile over the time:
• Monthly NAV Calculations + Reporting
• Finance Workflow / Process
• (Para-)Legal responsibilities - e.g.
• contract drafts (NDAs, Service Level Agreements, etc.)
• review of term sheets, contracts (mainly English)
• etc.
Your Profile / Qualifications / Prerequisites:
• Commercial college education OR similar; ideally - BA degree in Business Administration and/or Law
• Substantial operational experience - e.g. in a role like Personal Assistant / Executive Assistant / Office Assistant / Team Assistant / Audit Assistant; Ideally - enriched by further experience from the field of financial controlling, business controlling, reporting, or compliance etc.)
• Ideally - a professional legacy from the financial-service industry (banking, insurance, asset management, family-office management, related consulting, etc.)
• Strong service orientation
• Interdisciplinary approach - in thinking and acting
• Structured and systematic approach - yet pragmatic
• Good communication skills
• Excellent English AND German skills
• Personal resilience; strong character; can-do attitude; pace and a 'driven' manner
• Team-player attitude
• Ideally - project-management experience
Your office location will be in the City of Vienna.
Personal presence in the office is expected; however, a part-time home-office solution (e. g. one day per week) is thinkable.
Compensation and remuneration will be above market average and beyond given collective-agreements' benchmark.
